We are currently hiring for the position of:
ASSISTANT TO DIRECTOR, FESTIVAL PROGRAMMING
Reporting to the Manager, Programme Administration, the Assistant is expected to offer administrative assistance to the Director of Festival Programming and Cinematheque. This entails managing meetings, tracking films, and maintaining their daily and travel schedules within the Festival Programming and Cinematheque portfolio.
RESPONSIBILITIES:
Shall include but not be limited to:
Coordinate the daily schedule of the Director, Festival Programming and Cinematheque
Manage message relay and coordinate calls for the Director, Festival Programming and Cinematheque
Aid in managing departmental email addresses and organizing communication materials as needed
Support the Coordinator, Festival Programming by inputting in-cinema preview screening information and comments into the database following established guidelines
Assist the Festival Programming department in inputting film tracking details into the database, adhering to established guidelines
Organize the travel schedule of the Director, Festival Programming and Cinematheque, including arranging meetings with stakeholders, assembling daily information folders, and creating itineraries
Prepare meeting materials as necessary
Assist the Manager and Senior Manager, Festival Programming in scheduling for the Festival, including proofreading the Official Film Schedule, Press & Industry Guide, and Online Film Schedule during the respective weeks of August
Aid in data entry for both tentative and confirmed film schedules
Generate film and hospitality invitations for a designated group of film programmers and programmes
Create additional hospitality invitations as needed
Assist in preparing Festival presentations as requested
Help coordinate special events organized by Festival Programming leading up to and during the Festival
Send out and monitor RSVPs for Festival events
Manage the Festival schedule for the Director, Festival Programming and Cinematheque, including compiling daily information folders and itineraries
Provide support to the Festival Programming department on various projects and administrative tasks as required
Compile a detailed post-mortem report
Perform other assigned duties as needed
JOB GRADE & SALARY:
Job Grade 1
$20/hour
TARGET CONTRACT DATES:
Monday, May 6, 2024 - Friday, September 27, 2024
WORK LOCATION:
Office Location: 350 King Street West, Toronto, ON M5V 3X5
Temporary Part Time: 3 days per week until the beginning of June, increasing to 5 days per week
Weekly in-office requirements:
Minimum 2 days (May)
Minimum 3 days (June to September)
Festival Office Requirements: Full Time during Festival
MINIMUM REQUIREMENTS:
Completion of a post-secondary degree or diploma
Exceptional organizational abilities coupled with meticulous attention to detail
Proactive approach and aptitude for coordinating projects
Proven experience in managing large volumes of data or information accurately
Adaptability to fast-paced, high-pressure environments, including flexible scheduling for evenings and weekends
Strong recall for names, positions, companies, and various situations
Capability of handling challenging situations and individuals with composure and tact
Excellent phone etiquette, communication skills, and interpersonal prowess
Comfortable working independently or collaboratively within a team
Job specific skills:
Proficiency in computer usage and applications, including Microsoft Office Suite and relational databases
Additional language(s) proficiency is an asset
Previous experience in a festival environment considered an asset
Required availability to work full regular and extended hours on weekends from July 20 to August 4, 2024, as well as for the entire duration of the Festival
